We’ve had some members depart so are doing account cleanup.  Wondering what is the recommended process.

Have validated with our test environment. 

In Quoter, if a user has people assigned, are prompted to reassign the people to someone else and then the user is deleted.  Any quotes they owned are still there but there is no longer an identified owner for the quote and can’t see who performed the activity, impacting the audit trail.

Tried the alternative of updating user credentials in Scalepad Hub, adding a prefix to the name and email.  The email doesn’t update because it’s waiting for a validation from the new email.  Do see the updated name in Quoter and the audit trail appears retained.  Of course this impacts other apps associated with the Scalepad Hub user.

Thanks for reaching out about this. Since the User information is now coming to Quoter from the ScalePad Hub, if you wish to retain the audit trail and user information in Quoter, the best option would be to inactivate the User in the Hub which would prevent them from logging in, but will retain their Quoter user info. As you mentioned, this can cause issues if you want them to be able to access other ScalePad products, but we don’t currently have a way to archive customers in Quoter. It would definitely be a good idea for a Product Idea, though :)

I no longer see the option to inactivate users in the Hub.

@AnneliseShipton Thanks for posting your question! At this time, the ability to inactivate users in the Hub has been removed, and users can only be fully deleted.

That’s disappointing.  How do we maintain referential integrity for departed users?  See ​@JonTurner response on Aug 29.

Hi Annelise,

Thanks for the follow-up. Since we don’t currently have a way to archive Users, the best way would be your initial suggestion to disallow access to the Hub by changing the emails of users to an email they don't have access to. This should prevent them from being able to sign in while still maintaining the Users for your records within the Hub and Quoter.
